Behaviour and Attendance Policy
Purpose
This policy sets out expectations for behaviour, conduct, and attendance for all learners enrolled on apprenticeship and vocational programmes. It aims to promote a safe, respectful, and inclusive learning environment where learners can thrive, progress, and achieve.
Scope
This policy applies to:
All learners, including apprentices and Adult
All delivery settings : in-person, workplace, practical training (Logistics), online and remote learning.
Tutors, assessors, delivery staff and sub-contractors
Commitment
We are committed to:
High standards of behaviour that support learning, respect, and professionalism
Regular, punctual attendance and engagement in all training and assessment activities
Working collaboratively with employers to uphold shared expectations
Behaviour Expectations
Learners are expected to:
Treat staff, peers, employers and visitors with courtesy, respect, and fairness
Demonstrate professional conduct at all times, including in the workplace and during remote sessions
Contribute positively to learning and avoid any behaviour that disrupts others
Use appropriate language and maintain respectful communication, including online
Follow health and safety guidance and safeguarding procedures
Uphold British values of democracy, the rule of law, individual liberty, mutual respect and tolerance
Unacceptable Behaviour includes (not exhaustive):
Bullying, harassment, discrimination, or offensive behaviour
Aggressive, abusive, or disruptive conduct
Academic misconduct, plagiarism, or cheating
Misuse of IT systems, mobile phones, social media or online platforms
Breaches of safeguarding or health and safety requirements
Attendance and Punctuality Expectations
Learners must:
Attend all planned learning, coaching, assessment, English, maths and 1:1 sessions
Be punctual for sessions and notify staff of any lateness as soon as possible
Actively engage in learning, including completing independent study and off-the-job training
Inform their trainer and employer before a session if they are unable to attend
Attend all mandatory progress reviews and End-Point Assessment preparation activities
Tutors must:
Follow up on all unexplained absences, the process is:
Try to contact the learner by telephone or email in the first instance
If no contact can be made, the employer must be contacted to see if they have further information on the whereabouts and safety of the learner.
If the tutor cannot make contact with the learner they must then pass on the information to the DSL through the referral process. The DSL will then have the responsibility of following the Safeguarding Policy.
Authorised Absence Examples
Illness supported by self-certification or medical evidence
Pre-agreed annual leave (where appropriate to programme)
Exceptional personal circumstances (case by case)
Unexplained or repeated absence will be followed up in line with the Safeguarding Policy
Roles and Responsibilities
Learners:
Follow this policy and communicate honestly if support is required
Tutors/Assessors:
Promote expectations, monitor behaviour and attendance, and intervene early when concerns arise
Report any absence concerns you have to your line manager and complete a Safeguarding referral where necessary
Employers:
Support learner attendance for off-the-job training and address any concerns collaboratively with the tutors either when concerns arise or through Tripartite Reviews
Head of Work Based Learning:
Monitor compliance and ensure a consistent approach to behaviour and attendance across programmes
Monitoring, Intervention and Support
Where concerns arise, the following staged approach will apply:
Initial Concern/Informal Discussion – Tutor discusses concern with learner, expectations clarified, support offered
Formal Warning/Action Plan – If no improvement, an action plan is issued with clear targets and support measures
Employer Involvement – Joint meeting to address persistent issues, agree further actions
Final Review and Potential Withdrawal – If no sustained improvement, withdrawal from programme may be considered
Support such as additional 1:1’s, wellbeing support, reasonable adjustments or referrals will be offered where appropriate.
Safeguarding, Equality and Inclusion
Reasonable adjustments will be made for learners who have additional needs, disabilities, or personal circumstances affecting attendance or behaviour. Concerns linked to wellbeing or safeguarding will be handled in line with safeguarding procedures.
